A BRIEF TUTORIAL ABOUT CUTTING CARDS ON THE COMPUTER:

 

 

1.  Paste any electronic material you find on the web or in databases into a Word document (or scan text/books into word).

 

2.  Turn on the document map (you can do this by either selecting View à document map or clicking the document map icon which is on the far right side and it has a magnifying glass in it.)

 

3.  Cite each card from that source, remembering page numbers and dates accessed for URLs.

 

4.  Tag each card using the HEADING 2 style in the font style box.

 

5.  Now paste each card onto a different page according to what arguments they make. (i.e. do the blocking step right now: put solvency cards on the same page with other solvency cards, inherency with inherency, etc.)

 

6.  At the top of the Block type the title of that page (e.g. Mental Health Parity Solves) using HEADING 1.

 

7.  You will see the Block titles and Tags show up in the document map on the left side of the screen. Clicking on either a Block or Tag will take you directly to that spot in the document. By right clicking in the document map you can select which HEADING styles you want displayed. (e.g. you can select to view only the Block titles, or you can show both Blocks and Tags.)

 

8.  NOTE: If you hate the HEADING 1 and HEADING 2 styles because they are horribly ugly, don’t worry! By delving into Format à Style you can edit each and all of these styles to your liking. So if you can’t live without Tags in Courier 12, simply change HEADING 2 to Courier 12. (Just be sure to check the “Add to Template” box so that this style change applies to all your future documents, and not just this one.)

 

9.  One super cool feature of this process is that at the end you can create an index automatically. Simply select Insert à Index and Tables à Table of Contents and change the show levels box to 1 (This makes the index show only HEADING 1, which means it will only show your block titles). Make sure the cursor is at the start of the document, hit ok, and Word will insert a table listing each Block title on the left with page numbers on the right.

 

10.  If anything gets messed up, you can fix it by setting the text to “Normal” style.

 

11.  There are many other ways to tweak this processing in Word to your own liking, but this should be enough to get you started.

SETTING UP MICROSOFT WORD BEFORE YOU OPEN A DOCUMENT.

 

1.  CLICK ON STYLE UNDER THE FORMAT OPTION

 

2.  CLICK ON NEW STYLE

 

3.  GIVE YOUR STYLE A NAME LIKE “BLOCKS” AND CHECK THE BOX “ADD TO TEMPLATE.  THIS WILL ALLOW YOU TO USE THIS FUNCTION IN THE FUTURE WITHOUT HAVING TO REFORMULATE IT.

 

4.  CLICK ON FONT SO YOU CAN FORMAT THE FONT FOR YOUR STYLE.

 

5.  YOU SHOULD USE BOLD TIMES NEW ROMAN 12 POINT FONT.  CLICK OK

 

6.  CLICK ON PARAGRAPH SO YOU CAN FORMAT THE PARAGRAPH LAYOUT FOR YOUR STYLE.

 

7.  CHOOSE LEVEL 1 UNDER OUTLINE LEVEL.  THAT MAKES THE STYLE SHOWUP IN THE TABLE OF CONTENTS. 

 

8.  CHOOSE CENTERED ALIGNMENT SO THE BLOCK HEADINGS SHOW UP IN THE MIDDLE OF THE PAGE.  MAKE SURE YOU HAVE LINE SPACING SET TO SINGLE!  CLICK OK.

 

9.  ON THIS SCREEN, CLICK OKAY.…ASSUMING EVERYTHING LOOKS LIKE IT DOES HERE.

 

10.  YOU SHOULD CREATE ANOTHER SYLE FOR TAGS.  DIFFERENCES: USE 10 POINT INSTEAD OF 12 POINT (STEP 5), USE OUTLINE LEVEL 2 (STEP 7), MAKE THE TEXT JUSTIFIED (STEP 8).  THIS WAY YOU CAN SORT YOUR CARDS N THE DOCUMENT MAP ACCORDING TO TAGS AND BLOCK HEADINGS.

 

SETTING UP YOUR MICROSOFT WORD DOCUMENT

 

1. OPEN YOUR DOCUMENT IN MICROSOFT WORD.

2.  CLICK ON SELECT ALL

 

3.  CHOOSE TIMES NEW ROMAN.

 

4.  CENTER THE TEXT.

 

5.  LEFT ALIGN THE TEXT (THIS WILL GET RID OF INDENTATIONS).

 

6.  JUSTIFY THE TEXT (THIS WILL MAKE THE LEFT AND RIGHT SIDES OF CARDS FLUSH WITH THE MARGIN).

 

7.  CLICK ON PAGE SETUP.

 

8.  CHANGE THE MARGINS TO .75 EACH.

 

9.  SOMETIMES YOUR DOCUMENT WILL LOOK LIKE THIS (THE TEXT DOES NOT SCROLL ACROSS THE ENTIRE PAGE).

 

10.  IN THIS CASE, YOU MUST USE EITHER THE DELETE OR BACKSPACE KEY TO REMOVE CARRIAGE RETURNS (WHAT HAPPENS WHEN YOU HIT THE ENTER KEY).  GET YOUR TEXT TO LOOK LIKE THIS.

 

11.  TYPING CITES: USE THE KEYBOARD FUNCTION “Ctrl b” TO TURN ON BOLD – TYPE YOUR CITE.  YOU CAN HILIGHT THE TEXT (SHIFT AND ARROW KEYS) AND HIT “Ctrl c” TO COPY THE CITE AND “Ctrl v” TO PASTE THE CITE.

 

12.  TYPING TAGS:  REMEMBER TO CHANGE THE STYLE IN THE STYLE MENU!  HIT “Ctrl u” TO TURN ON UNDERLINING.  HIT “Tab” TO TAB IN ONE SPACE WHICH WILL CREATE THAT LINE IN FRONT OF THE CARD.  HIT “Ctrl u” AGAIN TO TURN OFF UNDERLINING, MAKE SURE CAPS LOCK IS HIT AND TYPE YOUR TAG.

 

13.  TO UNDERLINE THE CARDS HILIGHT THE PORTIONS OF THE CARD YOU WANT TO UNDERLINE BY USING “Shift” AND THE ARROW KEYS.  IF YOU USE “Ctrl Shift” AND THE ARROW KEYS YOU CAN HILIGHT ENTIRE WORDS INSTEAD OF SENTENCES. 

 

14.  AFTER YOU HAVE A SECTION HILIGHTED, HIT “Ctrl u” TO UNDERLINE THE SECTION.

 

15.  WHEN YOU WANT TO REFORMAT YOUR CARDS FOLLOW THESE STEPS.  IT IS BEST TO DO THIS AFTER YOU ARE DONE CUTTING YOUR CARDS.  CLICK SELECT ALL.

 

16.  CLICK REPLACE.

 

17.  CLICK ON MORE.

 

18.  CLICK ON FORMAT AND THEN FONT.

 

18.  SELCT 10 FOR SIZE, NOT BOLD FOR FONT STYLE, AND NONE FOR UNDERLINE – CLICK OK

 

19.  CLICK IN THE REPLACE WITH BOX. AND THEN CLICK FORMAT AND THEN FONT.

 

20.  SELECT 8 FOR SIZE, NOT BOLD FOR FONT STYLE, AND NONE FOR UNDERLINE – CLICK OK.

 

21.  CLICK REPLACE ALL.

 

22.  AFTER YOU HAVE COMPLETED THAT CLICK IN THE FIND BOX AND HIT NO FORMATTING.  THEN CLICK IN THE REPLACE WITH BOX AND HIT NO FORMATTING.  CLICK BACK INTO THE FIND BOX AND BEGIN THE SAME PROCESS YOU JUST COMPLETED.  IN THIS CASE, HOWEVER, YOU SHOULD ONLY SELECT 10 FOR SIZE AND THE THIN UNDERLINE FOR UNDERLINE.  AFTER CLICKING IN THE REPLACE WITH BOX AND HITTING FORMAT AND FONT, CHOOSE 12 FOR SIZE AND THE THICK UNDERLINE FOR UNDERLINE.  HIT REPLACE ALL.  NOW ALL OF YOUR CARDS SHOULD HAVE WHAT IS UNDERLINED IN 12 POINT THICK UNDERLINING AND EVERYTHING ELSE IN 8 POINT FONT.

 

23. BLCOKING YOUR CARDS:  AN EASY WAY TO DO THIS IS TO WRITE ALL THE BLOCK HEADINGS YOU KNOW YOU WILL USE AT THE TOP OF DIFFERENT PAGES.  USE “Ctrl ENTER” TO CREATE PAGE BREAKS BETWEEN THE DIFFERENT BLOCKS.  MAKE SURE YOU USE THE STYLE BOX TO TYPE OUT YOUR BLOCK HEADINGS OTHERWISE IT WON’T SHOW UP IN THE DOCUMENT MAP.

 

24.  AFTER YOU TYPE EACH OF YOUR BLOCK HEADINGS MAKE SURE YOU TURN THE STYLE BACK TO NORMAL, OTHWERWISE YOU WILL GET GAPS IN THE DOCUMENT MAP.

 

25.  SORTING CARDS:  TURN ON THE DOCUMENT MAP.  YOU SHOULD SEE BOTH YOUR TAGS AND THE BLOCK HEADINGS.  ALL YOU HAVE TO DO IS CLICK (IN THE DOCUMENT MAP) ON A TAG AND YOU WILL GO DIRECTLY TO THAT CARD.  YOU CAN THEN USE “Ctrl Arrow Kyes” HILIGHT THE CARD AND THEN “Ctrl x” TO CUT THE CARD.  YOU THEN CLICK ON THE BLOCK HEADING WHERE YOU NEED THE CARD AND HIT “Ctrl v” TO PASTE THE CARD

 


 

INDEXING AND PAGE NUMBERS:

 

1.  AFTER YOU HAVE FINISHED SORTING YOUR CARDS YOU SHOULD GO THROUGH THE FILE AND MAKE SURE THERE ARE NO CARDS THAT SPAN MORE THAN ONE PAGE.  YOU SHOULD PUT PAGE BREAKS “Ctrl ENTER” BETWEEN EACH BLOCK.  AFTER YOU DO THAT, INSERT PAGE NUMBERS INTO THE DOUCMENT. 

 

 

2.  YOU SHOULD THEN PUT A HEADER AT THE TOP OF EACH PAGE.  CLICK ON VIEW, HEADER AND FOOTER.  TYPE YOUR HEADER.  THIS SHOULD INCLUDE THE FILE NAME ON THE LEFT SIDE AND CSUF 2K2 ON THE RIGHT SIDE.

 

 

3.  INSERT A PAGE BEFORE YOUR FIRST BLOCK.  THIS IS WHERE THE TABLE OF CONTENTS WILL GO.  CLICK ON INSERT, INDEX AND TABLES.

 

4.  CLICK ON TABLE OF CONTENTS.

 

5.  CLICK ON THE DOWN ARROW TO ONLY SHOW 1 LEVEL/

 

6.  CLICK ON OPTIONS

 

7.  PUT A ONE IN FRONT OF THE NAME YOU DESIGNATED FOR BLOCK HEADINGS AND ERASE ANY NUMBERS BY ANY OF THE OTHER NAMES.  KEEP CLICKING OKAY, AND YOU SHOULD GET A COMPLETE INDEX.  YOU MAY WANT TO TINKER WITH IT SO YOU DON’T HAVE THE SAME ENTRY ON THE INDEX 5 TIMES.
